Step-by-step guide

  1. Open BIK Inputs and enter the car’s value, fuel type or CO2 band, and any mileage figures required by the sheet. Keep the values in euro and kilometres or miles exactly as the workbook expects.
  2. Check the lookup table on the same sheet so you can confirm the BIK rate being used. For example, an EV at 9% is very different from a petrol car at 27.5%.
  3. Go to BIK Summary and review the annual and monthly result. If the car is worth €40,000 and the rate is 22.5%, the annual benefit is €9,000 before any mileage adjustment.
  4. Use the summary figure in your payroll record or director benefit schedule. If the car changes part-way through the year, update the inputs straight away rather than waiting for year end.
  5. Read the Instructions sheet once before first use, especially if you are matching the template to your own payroll process or reporting calendar.

Who uses a company car BIK sheet in Ireland

A company car BIK spreadsheet is usually opened by a payroll clerk, a bookkeeper in a small Ltd company, or an owner-manager who wants the numbers before a car is handed over. It is also handy for the accountant doing a year-end review when the director has used the vehicle privately all year.

When the calculation matters

The pressure points are the monthly PAYE run, the point when a new car is assigned, and the year-end file for the director. If a car is worth €42,000 and the BIK rate is 30%, the taxable benefit is €12,600 a year, or €1,050 a month before payroll adjustments.

A simple working example

Take a small plumbing firm with one director’s diesel car and four employees using vans. The director’s car might attract a 30% or 31.5% BIK rate depending on the band, so the difference between two models can be more than €600 a year in taxable pay. That is why you do the calculation before you commit to the vehicle, not after the first payslip goes out.

In Ireland, company car BIK feeds into taxable pay under PAYE, PRSI and USC, so the monthly figure matters as much as the annual one. A benefit of €9,000 can easily add over €4,000 in real cost to the employee once the extra tax is applied, depending on their marginal rate.
