This GAA club treasurer report Excel template records club income, expenditure, budgets and variances in one workbook. It contains Income, Expenditure, Dashboard and Instructions sheets, so a volunteer treasurer can prepare a clear 2026 committee report without rebuilding the spreadsheet each month.

Enter receipts and payments in the two registers, including the date, description, category, source or payee, amount, payment method and budget figure. Step-by-step guide

  1. Open the workbook and replace the example club name and registration details with your own club information. The supplied heading shows Cluain Dara GAA Club, a sample club registration number and the 2026 reporting year.
  2. On the Income sheet, enter each receipt on a separate row. Complete the Date, Description, Category, Source / Member, Amount, Payment Method and Budgeted columns, then check the calculated Variance and Variance %.
  3. On the Expenditure sheet, enter each payment from the club bank account or cash book. Use the category and payee fields consistently, and keep the matching invoice, receipt or electronic payment evidence with the record.
  4. Reconcile the entries to the bank statement at an agreed point each month. Investigate differences before presenting the figures to the committee rather than carrying an unexplained balance forward.
  5. Open the Dashboard after updating both registers. Use the totals and visual summaries to explain income, expenditure and budget performance at the monthly committee meeting.
  6. Use the Instructions sheet when a new treasurer takes over or when a category, payment method or budget column is unclear. Save a dated copy after each reporting period so earlier reports are not overwritten.

How a GAA treasurer uses the workbook during the season

At weekly and monthly club level

A volunteer treasurer usually sits down with the club bank statement, cash envelopes and committee paperwork after the weekend rather than waiting until the annual general meeting. The Income sheet suits receipts such as membership fees, gate money, club lotto and a table quiz; the sample rows show €4,850.00 in adult membership, €1,680.00 from a senior football championship gate and €5,460.00 from a Q1 lotto draw.

Enter the date and description while the transaction is still easy to identify. A cash gate receipt described as senior football championship gate is much more useful three months later than a line simply labelled cash received. The Source / Member field can identify Club Members, Match Day or the Lotto Committee, which helps the treasurer explain the figure at the next executive meeting.

For a club with several activities

A club running football, hurling, juvenile teams and a lotto can quickly accumulate dozens of transactions each month. If 300 juvenile and adult members pay an average of €120, the membership income alone is €36,000; recording those receipts by date and category gives the committee a sensible starting point for comparing subscriptions with insurance, affiliation and equipment costs.

The Expenditure sheet is useful when the same club pays separate suppliers for jerseys, pitch maintenance, referees, transport and electricity. A treasurer can enter the payment as soon as the invoice is paid, then compare the running total with the annual budget before agreeing another purchase.

Reports for the committee and AGM

At a monthly meeting, the Dashboard turns the registers into a shorter discussion: what has been received, what has been spent and where actual figures differ from the plan. For the AGM, retain the workbook with the supporting bank statements and invoices, then use the period totals as a working paper for the club's annual financial report.

Where the committee also needs a simple record of reimbursable spending, the same month-end totals can feed a flat-rate expenses claim before the treasurer settles the next invoice.

The Irish records a club treasurer should keep

Start with a complete audit trail

An Irish GAA club should be able to show how money moved from receipt or invoice to the bank account and into the treasurer's report. Keep the bank statement, numbered receipt or online payment record, supplier invoice and committee approval where applicable. Revenue record-keeping rules generally require business and tax records to be retained for 6 years, and that is a sensible minimum retention period for club financial records even where the club's tax position is different.

Use sequential internal receipt numbers and do not delete an unexplained transaction. If a €1,975.00 table quiz receipt is lodged to the bank in two parts, record the two deposits or clearly cross-reference the split to the original event total. The spreadsheet is a register, not a substitute for the source documents.

Tax and charity considerations

Many clubs operate through a not-for-profit structure and may have a charitable purpose, but exemption is not automatic for every income stream. A club may need to consider Revenue tax registration, corporation tax on non-exempt trading activities, payroll obligations where it employs staff, and VAT where it supplies taxable goods or services. The VAT standard rate is 23%, with reduced rates of 13.5% and 9% applying to specified supplies; membership subscriptions and fundraising receipts must not be labelled VAT-free without checking their treatment.

If the club is a registered charity, the Charities Regulator annual reporting and governance requirements also matter. A company limited by guarantee may have CRO filing obligations, including its annual return. Keep the spreadsheet categories aligned with the accounts used for those returns rather than inventing a new category for every fundraiser.

Practical controls for committee money

Two people should count significant cash collections, both should sign the count sheet, and lodgements should be made promptly. For example, if three match days produce €2,400.00 in cash but only €2,100.00 reaches the bank, the €300.00 difference needs an immediate explanation, not a silent adjustment in the workbook.

Where GAA club treasurer reports usually go wrong

Cash and bank figures stop agreeing

The most common failure I see in club spreadsheets is a cash receipt entered when the money is collected, followed by a second entry when it is lodged. A €1,680.00 gate receipt can become €3,360.00 of apparent income if the treasurer treats the bank lodgement as new income. Record the receipt once and use the bank reconciliation to track when it was lodged.

The reverse problem is also costly. Match-day cash may be spent on small items before the lodge, but no petty-cash record is kept. After six weekends, €40 here and €75 there can leave a €500 gap that the committee cannot explain and that the next treasurer has to reconstruct.

Categories become too vague to manage

Putting jerseys, pitch lining, fuel and insurance under a single heading called expenses makes the total look tidy but removes the information needed for decisions. If equipment spending is €6,200 against a €4,000 budget, the €2,200 overspend should lead to a conversation about orders and suppliers; it is harder to act when every payment is simply miscellaneous.

Do not change category names halfway through the year. Membership Fees, Gate Receipts, Club Lotto and Fundraising are distinct sample income categories in this workbook, and consistent labels make the Dashboard meaningful.

Budgets are entered after the event

A variance only helps if the budget existed before the transaction. A committee that budgets €5,200.00 for a Q1 lotto but records the budget as €6,000.00 after collecting €5,460.00 has manufactured a favourable result. Agree the budget in the club plan, enter it once, and treat a later change as a documented committee decision.

Another mistake is presenting a favourable income variance as spendable cash. €350.00 above the membership budget does not mean €350.00 is available if annual insurance or an unpaid supplier invoice is still due. The report should be read alongside the bank balance and outstanding commitments.

Make the treasurer's workbook a fixed monthly routine

Attach it to the bank-reconciliation day

Choose one fixed day each month, such as the first Monday after the bank statement arrives. Download or print the statement, enter missing income and payments, tick each matched transaction and then open the Dashboard. A 45-minute routine is realistic for a small club; leaving six months until the AGM can turn the same work into two full evenings and a hunt through old WhatsApp messages.

Keep entry standards consistent

Agree a short category list with the committee and use the same spelling every time. For a club, categories such as Membership Fees, Gate Receipts, Club Lotto, Fundraising, Equipment, Pitch Costs and Insurance are more useful than dozens of one-off descriptions. Use data validation where you extend the workbook so a new volunteer cannot enter Cash, cash and Cash Collection as three different payment methods.

  • Save a copy named with the reporting month, such as Treasurer Report March 2026, before making major changes.
  • Store the workbook in a restricted club folder and limit editing access because member names and payment details may be personal data under GDPR.
  • Keep a read-only PDF or printed summary for the committee pack, while retaining the editable workbook for the treasurer.
  • Use the Instructions sheet as a handover note and write down any unusual adjustment beside the relevant source document.

Know when the spreadsheet has reached its limit

This workbook is a good fit for a single club with a manageable number of monthly entries. Consider dedicated bookkeeping software when several volunteers edit the file simultaneously, the club has payroll, more than one bank account, regular VAT returns or hundreds of transactions each month. At 300 transactions a month, manual matching and version control become a control risk rather than a time-saving exercise.
